Managing Kids' Clubs and Activities Without Losing the Plot

Somewhere along the way, after-school clubs became a second job. Football on Monday. Swimming on Tuesday. Drama on Wednesday. Brownies on Thursday. Football match on Saturday. Birthday party on Sunday. And that's just one child.

It's not that the activities are bad; most of them are brilliant. The problem is the admin around them. The kit, the fees, the venues, the start times that change halfway through the term, the WhatsApp groups, the parent rotas. The actual childhood enrichment is buried under a mountain of logistics.

Here's how to stay on top of it without losing the joy of it.

1. Audit what's actually happening

Once a term, sit down and list every single club, lesson and activity, per child. Day, time, venue, kit, who's running it, what term it runs until, what it costs.

You'll find at least one thing you'd forgotten about, one thing you're still paying for that's finished, and one thing your child no longer enjoys. Trim accordingly.

2. Decide what's worth keeping

Not every activity earns its slot. The honest test is: does the child enjoy it, does it enrich their life, and is the admin manageable? Two yeses is fine. One yes and you should think hard.

Children don't need to do everything. The unstructured time at home, in the garden, with friends, doing nothing; that's also developmentally valuable. Possibly more so.

3. Get the kit list per club, written down

"What does she need for swimming today?" should not be a question you ask at 8:15am. Build a small kit list per activity; swimming kit, football kit, dance bag, and stick it somewhere everyone can see.

Bonus: laundry routines start to make sense. The football kit comes home Wednesday night, gets washed Thursday, ready for Saturday's match. The system runs itself once you've named it.

4. Track the fees in one place

Term fees, match fees, kit costs, end-of-year shows, summer camps. Children's activities are a stealth budget item. Nobody plans for them, everyone pays them, and at the end of the year you're not sure where £600 went.

5. Build a parent-rota system that doesn't fall apart

Parent rotas are sacred and fragile. The one for football team teas. The one for the school nativity props. The Brownies leader cover. Each one runs on a fragile WhatsApp group that nobody quite owns.

If you're on a rota, put your turn straight into the family calendar the moment it's confirmed, with an alert two days before. Don't trust the screenshot in WhatsApp.

6. Have a "drop-off only" parent and an "info-receiving" parent

This sounds blunt, but it works. In most families, one parent ends up on every WhatsApp group for every club. They get all the messages. They forward what matters. The other parent does the actual driving.

Or, better, both parents are on the groups, and the calendar is the source of truth. Either way, name the system. Don't let it default to whoever picked up the phone first three years ago.

7. Build in a pause

Once a term, take a week off. Skip the swimming, miss the football training, don't go to drama. See how it feels. If your child is relieved, that's information. If they're devastated, that's information too.

The pause is how you tell the difference between a meaningful activity and one that's running purely on momentum.
